Booking

If you wish to book a trip for other persons, you must be authorized by that person.

What data do we collect from you?

When you book a trip, the data you provide will be recorded by us. We collect data including:

  • Name, address, place of residence, telephone number, e-mail
  • Nationality, date of birth, place of birth
  • Emergency contact information
  • Payment details
  • Dietary requirement (if you want to specify it)
  • Medical information (if you want to provide it)
  • Information about other parts of the trip you did not book through CultureRoad

What do we use the data for?

  • Your details are required to make enquiries, to provide you with information about your trip, and relevant communication regarding the booking, for the proper execution of the trip and to process the booking and payment.
  • Your dietary requirement will be shared with other travel service providers who provide meals and if there is a medical or religious reason, only to the extent that you give permission.
  • Subject to your consent, your medical data will be shared with the travel service provider who should be aware of this and provision is necessary for your indicated needs, your safety or the safety of third parties.
  • Name and address details, bank details and details of the trip booked, costs and payment are processed for accounting purposes, accounts receivable and debt collection purposes.
  • Your data can be used for a legitimate interest of the company or third parties, such as handling complaints, disputes and legal claims, insofar as your interest should not prevail.
  • We process your data and experience to assess whether you meet the participation requirements. This is necessary for your safety, that of others and for the proper execution of the trip.

Foundation

We collect your data for the execution of the agreement we have with you. In addition, data is processed on the foundation of the legitimate interests of the company and third parties, insofar as your interests should not prevail. Furthermore, data is collected in order to comply with legal obligations, including in particular the obligation to keep accounts. The processing of your dietary and medical data requires your express consent.

How long do we keep your data

  • Unless otherwise stipulated, personal data will be kept for a maximum of two years after the trip.
  • Medical data will be deleted 30 days after the trip.
  • Insofar as data are necessary for the tax administration, these data will be kept for the applicable mandatory period (generally 7 years).
  • The above retention periods may be deviated from due to a legal obligation or a justified interest of the company or third parties insofar as your interest should not prevail. Data can be kept for, among other things, complaints, possible disputes or legal claims up to 2 years after the complaints, dispute or legal claims have been settled.

With whom do we share your information?

  • We make your details available to travel service providers if and to the extent that this is necessary for the proper execution of the journey, to meet your needs, for your safety or the safety of others.
  • External processors such as the accounting system, the accounting system, the e-mail system, the accounting system and for payment and collection are used in the processing of data.  

Transfer to a third country or international organisation outside the EU

When traveling outside the EU, the necessary personal data is passed on to local travel service providers based on the execution of the (travel) agreement with you. The travel service providers themselves are responsible for the correct processing of your personal data and are bound by the privacy rules that apply in that country.

Travel evaluation

What data do we collect from you?

We collect information including your name, the trip taken, your reviews of the trip, your other feedback or information you provide in the trip review.

What do we use the data for?

  • We use the data for internal evaluation.
  • We use the data for evaluation and feedback to the relevant travel service provider.
  • If we get permission we will publish the feedback on our website or other marketing channels to inspire other travellers.

Foundation

We collect your data on the foundation of the performance of the agreement we have with you. In addition, data is processed on the foundation of the legitimate interests of the company and travel service providers in the proper evaluation of its products or services to the extent that your interests should not prevail.

How long do we keep your data

Data in the evaluation shall be kept for up to 2 years after the trip. Feedback on our website or other marketing channels, if authorized, will remain online for an indefinite period of time.

With whom do we share your information?

The data may be passed on to the travel service provider. Depending on the situation, this will be done anonymously.

Newsletter

What data do we collect from you?

We collect information including your name and email address.

What do we use the data for?

When you subscribe to the newsletter or are a customer with us, your details will be used to send you the digital newsletter. We ask for your name to personalize the salutation of the newsletter.

Foundation

If you are not yet a customer, we will process your data as long as you have given us permission to use or send the newsletter. If you are already a customer, we will send you a newsletter based on the legitimate commercial interest of the company in providing its customers with the most up-to-date travel offers.

How long do we keep your data

Your data will be kept for these purposes until you unsubscribe. You can unsubscribe at the bottom of every newsletter.

With whom do we share your information?

For sending the newsletter we use an external mail program.

Cookies & profiling

What data do we collect from you?

With your permission, we collect anonymised data about your surfing behaviour and your preferences. For this purpose tracking cookies and scripts are used. We collect your IP address.

The tracking cookies and scripts we use are:

  • Hotjar

What do we use the data for?

This data is used to build profiles that allow us to show you targeted ads and make offers more relevant to you.

The data will only be processed on the foundation of your consent.

Your profile will be saved no more than 6 months after the last website visit.

Your profile is stored with an external analytics service.

Complaints about the trip

What data do we collect from you?

We collect data including your name, the trip you took, the complaint and other information you mention in the complaint.

What do we use the data for?

  • We use the data for internal evaluation of the complaint.
  • If the complaint relates to the execution of the trip, we will use the data for feedback to the travel service provider concerned with a request for a response to the complaint.
  • Your data can be used for a legitimate interest of the company or third parties, such as disputes and legal claims, insofar as your interest should not prevail.

Foundation

We collect your data on the Foundation of the performance of the agreement we have with you. In addition, data will be processed based on the legitimate interests of the company and travel service providers in case of proper complaint assessment and complaint handling insofar as your interests should not prevail.

How long do we keep your data

Data relating to the complaint will be kept for up to 2 years after the complaint has been dealt with.

With whom do we share your information?

If applicable, relevant personal data and details of your complaint will be passed on to and discussed with the travel service provider, our legal counsel and/or insurer and dispute resolution bodies.

Visa application

What data do we collect from you?

We collect information including your name and address, e-mail address, date of birth, travel period, passport number, employment details and passport period of validity. If necessary, with your permission, we will send a copy of your passport including photo (without citizen service number) to the embassy/consulate/our travel service provider.

What do we use the data for?

The data requested are necessary for submitting the visa application and are required by the embassy/consulate.

Foundation

We process these data for the execution of the agreement. If required, we will send your copy of passport including photo (citizen service number protected) with your permission to the embassy/consulate/our travel service provider.

How long do we keep your data

Your data will be kept for these purposes until the visa application has been completed and the journey completed.

With whom do we share your information?

Your details will be shared with the embassy/consulate/our travel service provider.

Security

How do we secure your data?

We take all appropriate organizational and technical precautions to secure your personal data and require third parties who process your personal data for us to do the same. This includes, among other things:

  • Access to your personal data is limited to persons who are required to process these data by physical and digital access restrictions.
  • Our network, data storage and data transport is secured – and where appropriate encrypted – according to current security standards.
  • Logging in and user activities are logged in order to trace unlawful processing.
  • The privacy policy is reviewed annually for effectiveness to comply with the latest privacy regulation.

Your rights

Your rights:

  • You have the right to access your personal data and the right to correct your personal data.
  • You have the right to request us to delete your personal data to the extent that
    • they are no longer necessary for the purposes for which they were collected and compatible purposes, or;
    • the processing is based on your consent and you revoke this consent and there is no other legal Foundation for the processing, or;
    • the processing is based on a legitimate interest of the company or third parties, you object to the processing and your interest prevails over legitimate interests of the company and third parties.
  • You have the right to restrict processing.
  • You have the right to a digital copy of the personal data you have provided to us.
  • You have the right to revoke permission.
  • Due to your specific situation, you have the right to object to the processing of your personal data insofar as the processing is based on the legitimate interest of the company or third parties.
  • You have the right to object to the use of your personal data for direct marketing purposes, including profiling.
  • You have the right to file a complaint with the Personal Data Authority.
